Business Services; Accounts Payable Clerk

Maintain all aspects of accounts payable in an autonomous environment. Duties include, but are not limited to: Compiling and preparation of all invoices and documentation necessary to pay all invoices to vendors and employees for
NCCC, Trott, SBDC and Corporate Training; input of invoices for payment; balancing of invoices paid/vouchers input; check register/disbursement register verification for A/P and student refund checks/check signing; remittance of check to vendor; review of open encumbrances/unencumbering purchase orders; accurate accounting of expenses to applicable account; contact with vendors/departments; discrepancies; Tax Exempt Certificate preparation; preparation of miscellaneous forms/policies involving contractual reimbursement; travel reimbursement; fiscal year-end closing; expensing purchases to FY; availability of funds; accrual spreadsheet; preparation of Continuity/Training Handbook for Accounts Payable; preparation of Continuity/Training Handbook for Receiving and training of staff within the educational institution; Accounts Payable team leader; Banner Training; back-up Cashier during registration - duties include interaction with students during the registration process, posting their payments via cash, check, credit card and balancing drawer with printed accounts receivable reports.

Office Management within the Division. Maintain an efficient and smooth work environment for approximately 32 faculty and adjunct faculty in an autonomous environment. Duties include, but are not limited to: Assist Department Head (Division Chair) in administrative duties within the Division and Intramural/Recreation; coordinate Health/Physical Education and Intramural/Recreation budget based on determination of funding required/allocated and department needs: determination of proper budget accounts, maintaining all accounts and balances and budget analysis in preparation of appointment letters and Master Schedule (all classes); hiring, scheduling, supervision and delegation of work to student workers; evaluation of students; preparation of purchase orders, contacting vendors, ordering office supplies, textbooks, equipment, AV equipment/supplies and all other purchases, including maintaining inventory of all purchases, plus assigning and maintaining records of keys, copier codes (monthly balances, reports - deletion of codes when required); implementation of office standards and guidelines; coordinate, maintain, update and schedule facility usage including, but not limited to reservations of all classes, internal events and external events within H-building (pool, weight room, main gym, small gym, racquetball courts, classroom, dance studio, wrestling room, conference room) through ASTRA Schedule (rooms usage) and facility books; assist Coordinator of Physical Education Studies in administrative duties including budget, master schedule, preparation of recruitment packets and other duties as required; assist Athletic Department when necessary, including Athletic Director and Coaches in all office and management functions; assist Physical Education Majors, Student-Athletes, and general student population within the Health and Physical Education Division, Physical Education Studies Program, Intramural/Recreation Program, Athletic Department and all inquiries campus-wide; preparation, distribution and collection/analysis of surveys for SUEP report, student intramural/recreation needs; front line public relations for incoming students, parents, visitors and vendors within our building; computer mentor within H-building
