Meeting & Incentive Travel Group Coordinator

Provide administrative support to the Director and Team members of the Meetings & Incentive Travel Division. Coordinate client travel arrangements with Airlines, Cruise Operators, Hotel Vendors and Destination Management Companies. Close working relationship with in-house accounting department on incoming client payments, vendor attrition dates, payment dates and commissions. Bi-Weekly reconciliation of group credit card statement and expense reports.
Establish and maintain client registration database including providing mailings, invoicing and artistic design of client promotional materials and final documents throughout course of client program. Maintain current files of destinations.
Support pre-trip preparation with the maintenance of Arrival and Departure manifest to Destination Management Company, Rooming list provided to Hotel Group Coordinator and coordination of private group functions.
Onsite coordination and operation encompassing private check-in at destination and client relations services. Facilitate onsite hospitality desk to provide total customer experience throughout client program. Establish working relationships with onsite staff: Hotel Group Coordinator, Destination Management Company.
